GENERAL SUMMARY

The Yardi Specialist, Property Management is responsible for support, initial input, training, and data integrity in Yardi for assigned properties managed by the John Stewart Company. The role requires understanding of the Yardi property management software and affordable housing property management; strong communication skills; and a competent command of spreadsheet software (Excel) to satisfactorily perform required duties. Demonstrated training and/or customer support experience is a plus. An ability to work within a team structure and accept and use input from others is essential to meet the deadlines for report deliverables and coordinate with other JSCo personnel. An ability to travel to assigned sites to provide in-person training and support is required.

PRIMARY JOB FUNCTIONS

  • Application Support
    • Under direction of the Vice President of Property Management, provide oversight and training of the Yardi system.
    • Ensure data is correctly maintained in Yardi for assigned locations.
    • Evaluate and test new modules and functionality for implementation and rollout.
    • Troubleshoot Yardi application issues.
    • Coordinate system corrections with Yardi technical support as needed.
    • Mentor, train, and support team members.
    • Represent Property Management team on implementation projects that impact PM Staff such as RentCafe and property websites.
  • Project Management
    • Under the direction of the Vice President of Property Management, support the setup of new properties in Yardi, including the conversion of existing properties from other software systems (Boston Post).
    • Assist with the setup and utilization of RentCafé and property websites via Yardi.
    • Train staff on the utilization of RentCafe’.
    • Travel to new properties as assigned and enter initial move-ins and tenant data.
    • Enter and post payments to support property conversions and lease-ups until such time as onsite staff is proficient in the tasks.
    • Provide in-person training with onsite teams on move-in processing and rent posting in Yardi.
    • Review occupancy and delinquency reports for assigned properties before month-end closing to ensure accuracy and time for corrections if needed.
    • Provide recommendations for supporting the Yardi application.
    • Provide recommendations regarding property and accounting staff training.
  • Help Desk 
    • Assist with tickets on the Yardi Support Help Desk as requested.
    • Assist with customer response efforts on Zendesk to JSCo staff as requested by the Yardi Systems Manager or Assistant Vice President of Systems and Technology.

 

PRIMARY JOB FUNCTIONS 

  • Ensure that Property Management teams at assigned properties are successfully trained on Yardi for move-ins, payment entry, and posting of payments.
  • Ensure that the first month’s reports for assigned properties accurately reflect all move-ins, charges, and payments.
  • Assist with special projects as assigned by the Vice President of Property Management.
  • Make recommendations to improve the Yardi system utilization.
  • Collaborate with the Yardi Systems Mangager and Assistant Vice President of Systems and Technology for successful onboarding of new properties and software conversion of existing properties.

Qualifications

MINIMUM QUALIFICATIONS
Demonstrated experience/training/certification that provides the necessary skills to complete all tasks described in the job description, with or without a reasonable accommodation.

SKILLS & KNOWLEDGE

  • Policies and Procedures — Working knowledge of accounting principles, accounting, AP and affordable housing property management programs, policies, and procedures.
  • Task Management – Strong time, organizational, accuracy and project management skills.
  • Collaborative – Ability to effectively assist and support others while contributing to the team’s success.
  • Written Comprehension and Expression — Ability to read, understand and effectively communicate complex technical information and ideas in writing to non-technical staff.      
  • Oral Comprehension and Expression — Ability to listen to, understand and speak so others can understand ideas and information presented verbally. 
  • Strong Computer Application and Software Skills – in various accounting software systems, Yardi, Boston Post, and Microsoft Office programs such as WORD, EXCEL, and OUTLOOK are essential.
  • Problem Sensitivity/ Deductive Reasoning — Discovery or anticipate problems and use independent judgment and decision making to solve any problems.  Apply analytics, logic, and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems considering the relative costs and benefits of potential actions to independently choose the most appropriate one.
  • Driving – Must have a valid California State Driver’s License and access to a vehicle for travel to sites.

EXPERIENCE

  • Demonstrated experience in problem identification, analysis, recommendation of options and development of logical and workable solutions.
  • At least three years’ Yardi system experience, and five years’ experience in multifamily housing.
